How do Cloud Backup additional data storage packages work?

When would I need an additional data storage package? 

You need an additional data storage package whenever you exceed your Cloud Backup data storage limits of 50Gb per licensed user.   You can always calculate your usage based on our storage calculator on our pricing page.

Why would my storage limit be exceeded? 

Lets say you start your Cloud Backup product with 4 licensed users and all your shared drives, this gives you 50Gb of cloud backup data storage for each user, totalling 200Gb.  The follow examples would cause you to exceed your limits:

  • all 4 users are already close to their 50Gb limit and it is expected with an average data growth of 20% per year, and a 1 year retention period, will cause you to exceed your 50Gb user limit
  • you have decided to migrate a non Google workspace storage system (ie. dropbox, Notion etc.) to your shared drives increasing your data usage
  • one of you users leaves, they are using 45Gb of data, you migrate all their data to your account but leave them as an archived user in the backup.  This means your backup storage has just doubled, ie. you added 45Gb to your account plus you retained this users 45Gb of data in backup storage.  We suggest you do one or the other ie. migrate the data or archive them but not both.
  • you decided to migrate your other email accounts into your Google Workspace causing your quota to be exceeded

How can I reduce my backup storage?

Generally speaking, due to the 1 year retention, Cloud backup data is only deleted at the end of this period.  If however you have say an entire shared drive or user that you have deleted and no longer want to retain in the backup you can request the team to delete this for you.  Deletions of this nature are final and cannot be retreived.

When will I know if I am exceeding my data quota?

We will notify you as you begin to approach your limit with a range of options on how this can be managed moving forward.
